Organizing payments and correspondence in a rental dispute

Turn scattered rental payment, expense and handover records into a clear file for an initial review.

Define the disagreement

Separate payment, use, expenses and handover issues. State which payment period or event is disputed rather than simply saying the parties disagree. Include the contract date, actual occupation date and present position in a timeline.

Match payments to periods

List transaction dates, amounts, references and the rent period each payment relates to. Flag transfers covering several periods or mixed expenses. Do not present an uncertain allocation as established fact. Keep original bank records separately: a summary table is a reading aid, not a replacement.

Keep messages in context

Preserve the relevant conversation and date information instead of isolated screenshots. Group repair, expense and handover discussions by subject. Create an index showing where relevant records can be found and agree a secure sharing method with the firm.

Separate formal notices and handover records

Keep notices, envelopes, attachments and delivery information together. Do not plan around a generic deadline found online. The document type and service information require individual review. Include existing key handover records. The Turkish Code of Obligations supplies the general lease framework; the appropriate route depends on the file.

Frequently asked questions

Is a spreadsheet sufficient?

A spreadsheet helps organize the file, but the bank records and other documents underlying it should also be preserved.

Should I postpone a meeting because a document is missing?

The available material can support an initial discussion. List missing documents and their possible sources separately.
